1. Introduction

Shipping Cost Calculator LLC (“we,” “us,” or “our”) operates ShippingCostCalculator.com (the “Service”). This Privacy Policy explains what information we collect when you use the Service, how we use and share that information, and the choices available to you.

By accessing or using the Service, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use the Service.

2. Information We Collect

Information You Provide

  • Account information. When you create an account, we collect your email address and password. Your password is cryptographically hashed before storage—we never store or have access to your plaintext password. If you sign in with Google, we receive your email address and a unique Google account identifier. Your Google password is never shared with us.

  • Quote data. When you use the rate comparison tool while logged in, we store your query details—origin and destination ZIP codes or countries, package weight, and package dimensions—as part of your quote history. If you use the Service without an account, your queries are not stored.

  • Shipping information. When you use our label purchasing service, we collect full sender and recipient names, physical addresses (street, city, state, ZIP code, country), and phone numbers (if provided). We also collect parcel details including weight, dimensions, contents description, and declared customs value for international shipments.

  • Saved data. You may save addresses and packages to your account for future use. This data is stored until you delete it or close your account.

  • Tracking recipient emails. When you purchase a shipping label, you may add up to three recipient email addresses to receive tracking status notifications. These email addresses are stored for 30 days after the shipment is delivered or its final tracking status is recorded, after which they are automatically deleted. Recipients may unsubscribe from notifications at any time via a link in each email.

  • Shopify store data. If you connect your Shopify store, we import order data from your store, including customer names, email addresses, shipping addresses, phone numbers, and order details (line items, quantities, weights, and payment status). This data is used solely to create shipping labels and manage fulfillments on your behalf. See Section 6 (Data Retention) for retention periods.

  • Branded tracking configuration. If you customize your tracking pages, we collect your business name, brand colors, header style preference, custom messages, social media links, and support contact information (email, phone). If you upload a business logo, it is stored on our cloud infrastructure (AWS S3). Your support contact information and social media links are publicly visible on your tracking pages.

  • Printer preferences. If you use the printer setup wizard, we store your printer type and model to provide label formatting recommendations. This data is stored until you update it or close your account.

Payment Information

Payments are processed by our third-party payment processor, Stripe, Inc. We do not store full payment card numbers on our servers. Stripe collects and stores your card details (card number, expiration date, CVC), billing address, and payment history. We store Stripe-generated identifiers (customer ID, subscription ID, invoice IDs, and payment intent IDs) to manage your account and transaction records. Information Collected Automatically

  • Usage data. We use Google Analytics to collect information about how you interact with the Service, including pages visited, features used, referring URLs, and interaction patterns.

  • Device and browser data. We automatically collect your IP address, browser type and version, operating system, device type, and screen resolution.

  • Security data. The Service uses Google reCAPTCHA v3 to protect against automated abuse. reCAPTCHA collects behavioral data (such as mouse movements, scrolling, and keystrokes), IP addresses, browser characteristics, and device information to assess whether interactions are from humans or bots. This data is sent to Google for analysis. See Google’s Privacy Policy for details.

  • Address autocomplete data. When you use the address autocomplete feature during label purchasing or address management, partial address text and your selected country are sent directly from your browser to Geoapify, a third-party geocoding service, to provide address suggestions. Geoapify receives the characters you type, the country filter, and your IP address.

  • Cookies and similar technologies. See Section 5 (Cookies and Tracking Technologies) and our Cookie Policy for details.

Information We Do Not Collect

  • Full payment card numbers (handled entirely by Stripe)

  • Social Security numbers or government-issued identification

  • Biometric data

3. How We Use Your Information

  • Provide the Service. Deliver shipping rate comparisons, purchase shipping labels on your behalf, maintain your account, and store your quote and shipment history.

  • Process payments. Process subscription billing and label purchase charges via Stripe, manage invoices, and handle refunds.

  • Generate shipping labels. Transmit your shipping information to Shippo and the selected carrier to create shipping labels and obtain tracking numbers.

  • Authentication and security. Verify your identity, send email verification and password reset messages, and protect against unauthorized access.

  • Protect against abuse. Use Google reCAPTCHA v3 to verify that interactions with our rate comparison and label purchasing features originate from real users rather than automated bots.

  • Improve the Service. Analyze usage patterns via Google Analytics to understand how users interact with the Service and identify areas for improvement.

  • Manage Shopify orders. Import orders from your connected Shopify store, display them in your dashboard, purchase shipping labels, and sync fulfillment status back to Shopify.

  • Provide tracking notifications. Send automated shipment status emails to you and any recipient email addresses you provide. Display shipment status, carrier information, and partial address details on public tracking pages.

  • Communicate with you. Send transactional emails such as account verification, password resets, and tracking notifications. We do not send recurring marketing or promotional emails.

  • Legal compliance. Comply with applicable laws, respond to legal requests, and enforce our Terms of Use.

4. How We Share Your Information

We do not sell your personal information to any third party for any purpose.

We share limited data with the following categories of service providers who help us operate the Service:

  • Google Analytics — receives anonymized usage and device data for analytics purposes. See Google’s Privacy Policy for details on how Google processes this data.

  • Google Sign-In (Google LLC) — if you sign in with Google, Google receives standard OAuth data (redirect URI, authorization code, client ID) during the authentication process. We receive your email address and a unique Google account identifier. See Google’s Privacy Policy.

  • Google reCAPTCHA (Google LLC) — receives behavioral data, IP addresses, and browser/device information to assess whether interactions are from humans or bots. Data is processed by Google in accordance with Google’s Privacy Policy. This site is protected by reCAPTCHA and the Google Privacy Policy and Terms of Service apply.

  • Geoapify — receives partial address text, country codes, and your IP address to provide address autocomplete suggestions during label purchasing and address management. Data is sent directly from your browser to Geoapify’s API. See Geoapify’s Privacy Policy for details.

  • Email delivery provider — receives your email address solely to deliver transactional emails (account verification and password reset).

  • Shippo (Shippo, Inc.) — processes shipping addresses, parcel details, and contact information on our behalf as a data processor to generate shipping labels, verify addresses, and obtain carrier rates. Shippo may also use de-identified and aggregated data derived from shipping activity for their own service improvement and product development purposes, as described in their terms of service. Data shared with Shippo is subject to Shippo’s Privacy Policy and their data retention policies, which may differ from ours.

  • Shipping carriers (USPS, UPS, FedEx, DHL Express) — receive shipping addresses and package information via Shippo to provide transportation services. Each carrier’s own privacy policy governs their handling of your data.

  • Stripe, Inc. — receives your email address, payment method details, and billing information to process payments for subscriptions and label purchases. See Stripe’s Privacy Policy.

  • Shopify (Shopify Inc.) — if you connect your Shopify store, we receive order data (customer names, emails, addresses, phone numbers, and order details) from Shopify via its API. We send fulfillment data (tracking numbers and carrier information) back to Shopify when you ship an order. Shopify’s handling of data is governed by Shopify’s Privacy Policy.

  • Amazon Web Services (AWS) — provides cloud hosting, database services, and file storage (for branded tracking logos) for the Service. All application data is stored on AWS infrastructure in the United States. See AWS Privacy Notice.

We may also disclose your information if required by law, legal process, or government request, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.

In the event of a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify you of any such change by posting a notice on the Service.

5. Cookies and Tracking Technologies

  • Google Analytics cookies. We use Google Analytics to collect anonymized usage data. Analytics cookies are only set after you accept them via the cookie consent banner that appears on your first visit. If you decline, Google Analytics is not loaded. You can also opt out by installing the Google Analytics Opt-out Browser Add-on.

  • reCAPTCHA. Google reCAPTCHA v3 may set cookies and collect behavioral data for bot detection. This is essential for Service security and cannot be disabled. See our Cookie Policy for details.

  • Local storage. We store a JSON Web Token (JWT) in your browser’s localStorage for authentication purposes. This is not a cookie and is not used for tracking.

  • No advertising cookies. We do not use advertising, retargeting, or social media tracking cookies.

6. Data Retention

  • Account data. Retained for as long as your account is active. If you request account deletion, we will delete your account and associated data within 30 days.

  • Quote history. Retained for as long as your account is active and deleted when your account is deleted.

  • Verification and reset tokens. Automatically expire (24 hours for email verification, 1 hour for password reset) and are not retained beyond their purpose.

  • Analytics data. Governed by Google Analytics’ data retention settings.

  • Shipment records. Shipping label purchase records (including addresses, parcel details, tracking numbers, and payment references) are retained for up to 7 years for tax, audit, and legal compliance purposes.

  • Payment records. Stripe payment and invoice records are retained per Stripe’s data retention policies.

  • Saved addresses and presets. Retained until you delete them or your account is closed.

  • Shopify order data. Imported orders without a purchased label are retained for 90 days after the order date. Cancelled orders are retained for 30 days after cancellation. Orders with purchased shipping labels are retained for up to 7 years for tax, audit, and legal compliance purposes. When you disconnect your Shopify store or uninstall our app, orders without purchased labels are deleted immediately; shipped orders are retained per the schedule above.

  • Tracking recipient emails. Retained for 30 days after the shipment’s final tracking status (delivered, returned, or failed), then automatically deleted.

  • Data access audit logs. Logs recording access to protected customer data (for Shopify compliance) are retained for 30 days and then automatically purged.

We may retain certain information as required by law or for legitimate business purposes such as fraud prevention, tax compliance, and legal obligations.

7. Data Security

We take the security of your data seriously and implement the following measures:

  • Passwords are salted and cryptographically hashed before storage—we never store plaintext passwords.

  • Authentication tokens are cryptographically hashed before database storage.

  • All data transmissions between your browser and our servers use HTTPS encryption.

  • Database queries use parameterized statements to prevent injection attacks.

  • Third-party integration tokens (such as Shopify access tokens) are encrypted at rest using AES-256-GCM.

  • Access to protected customer data is logged for compliance and audit purposes.

While we implement reasonable security measures, no method of electronic transmission or storage is completely secure. We cannot guarantee the absolute security of your information.

8. Your Privacy Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access. Request a copy of the personal data we hold about you.

  • Correction. Request correction of inaccurate or incomplete personal data.

  • Deletion. Request deletion of your account and associated data.

  • Data portability. Request your data in a structured, commonly used, machine-readable format.

  • Withdraw consent. Where we process your data based on consent, you may withdraw that consent at any time.

9. California Residents (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA):

  • Right to know. You may request the categories and specific pieces of personal information we have collected about you, the sources of that information, the purposes for collection, and the third parties with whom we share it.

  • Right to delete. You may request deletion of your personal information, subject to certain legal exceptions.

  • Right to opt-out of sale or sharing. We do not sell your personal information. We do not share personal information for cross-context behavioral advertising.

  • Right to non-discrimination. We will not discriminate against you for exercising your privacy rights.

Categories of personal information we collect: Identifiers (name, email address, physical addresses, phone number, Google account identifier if using Google Sign-In); commercial information (shipping history, label purchases, subscription status, Shopify order data including customer names, addresses, and order details); financial information (payment method details processed via Stripe); internet or other electronic network activity information (usage data collected via Google Analytics; behavioral data collected by Google reCAPTCHA for security purposes); and geolocation data (ZIP codes and addresses provided for shipping).

10. European Residents (GDPR)

If you are located in the European Economic Area (EEA) or the United Kingdom, you have additional rights under the General Data Protection Regulation (GDPR):

Legal Basis for Processing

  • Contract performance. We process your account data, quote requests, shipping information, and payment data as necessary to provide the Service you have requested, including purchasing shipping labels on your behalf.

  • Legitimate interests. We process data for analytics and service improvement, and for security and fraud prevention, where these interests are not overridden by your rights.

  • Consent. Where we rely on your consent (for example, for analytics cookies), you may withdraw that consent at any time.

Additional Rights

  • Right to restrict processing of your personal data.

  • Right to object to processing based on legitimate interests.

  • Right to lodge a complaint with your local data protection supervisory authority.

International data transfers. Your data is stored and processed in the United States. By using the Service, you acknowledge that your data will be transferred to the United States, where data protection laws may differ from those in your country of residence. Where required, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission as the legal mechanism for transferring personal data from the EEA or the UK to the United States. Our third-party service providers (including Google, Stripe, and Shippo) maintain their own data transfer mechanisms as described in their respective privacy policies.

EEA/UK representative. We do not currently have a designated representative in the EEA or the United Kingdom. If you are located in the EEA or UK and wish to exercise your data protection rights, please contact us directly at support@shippingcostcalculator.com.

11. Children’s Privacy

The Service is not intended for children under 16 years of age. We do not knowingly collect personal information from children under 16. If we learn that we have collected personal information from a child under 16, we will take steps to delete that information promptly.

12. Third-Party Links

The Service may contain links to third-party websites, including carrier websites such as USPS, UPS, FedEx, and DHL. We are not responsible for the privacy practices or content of these third-party sites. We encourage you to review the privacy policies of any third-party sites you visit through links on the Service.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time by posting the revised version on this page. The “Effective Date” at the top of this page will be updated to reflect the date of the most recent changes.

For material changes, we will make reasonable efforts to provide notice on the Service. Your continued use of the Service after any changes to this Privacy Policy constitutes your acceptance of the revised policy.
